You will find especially difficult to talk over the telephone, when you cannot see the face of the person. Good telephone manners include answering promptly, greeting the caller kindly, and giving your whole attention to the call. Speak directly into the mouthpiece, distinctly, but not too loudly. Don’t bellow and don’t whisper! Use a natural voice, and talk slowly enough to be understood easily. If asked to repeat a difficult name, spell it out.
Keep besides the telephone a list of numbers you call frequently and a pad and a pen for taking down the messages.
Answer the phone by the second ring, if possible.
Lift the receiver and say distinctly: “John (Smith) speaking”.
When someone else calls you to the phone, say: “This is John”.
At the end of the conversation you must say: “Thank you for calling and good-bye”, before you hang up.
